Your campaign is now published and sign-ups have started. Want to find your members, donors, or registrants from your other forms? Or view and export those lists? Here's how!
- Where to find the information
- How to search within registrant lists
- How to export information (all or selected records)
- What information is included in the Excel export?
This works the same way across all your campaigns: memberships, donations, event ticketing, and Product Sales.
Where to find registrants for a campaign
From the campaign
To access the list of registrants (members, donors, participants, buyers), go to the relevant tab in your platform (Forms) and click the "Manage members / donors / registrants" button on the campaign. You'll be taken directly to the list.
Example: You want to view the list of people who signed up through your Membership Campaign.
From Contacts
Everyone who signs up through a Donation Campaign or Membership Campaign is automatically added to your contact list under Community > Contacts.
Use the "Filter by" field to display your members or donors:
Members and donors are also identified by color-coded badges:
-
: this yellow badge is automatically added to anyone identified as a member (it turns gray when the membership period ends); -
: this green heart is automatically added to anyone identified as a donor.
Only members and/or donors can be filtered and assigned a badge. Registrants from event campaigns are not automatically added to your contacts, and even if they're already saved as contacts, there is no equivalent filter or badge to identify them.
How to search within registrant lists
To search for someone in your list, enter their first or last name in the "Search" field at the top of the page.
You can also filter the list of registrants by payment status, payment method, or sign-up transaction status.
How to export the information you need
You may need to export your sign-up data to Excel or as a PDF.
Here's how to do it:
Excel
- Check the rows for the people you want to export;
- If you want to export all registrants, make sure to click 'select all X rows';
- Then click the Excel icon;
- Finally, choose your preferred Excel format and click "Continue".
To export as a PDF, follow these steps:
- Click the '+ options' button (1);
- Check 'Generate a PDF list' (2);
- Then click 'Confirm'. (3)
Select the information to display in the document, then confirm.
For PDF exports, you don't need to select individual members — only a full list export is available here.
What information is included in the Excel export?
Here is a non-exhaustive list of the information included in the Excel export:
- Registrant first and last name;
- Transaction amount;
- Transaction number;
- Buyer's email address;
- Payment status;
- Transaction creation date;
- Mailing address;
- Custom Fields information included in the campaign;
- The data in your file depends on which information you choose to export;
- Changes made after the fact to member profile records are not reflected in the exported Excel file — only the information entered at the time of sign-up will appear.
Registrant lists are displayed in reverse chronological order (most recent first).
