This feature gives you a complete overview of your transactions and related cash flow. It streamlines your financial management by letting you export a transactions file and a payments file.
This article covers the following topics:
Accessing the export page
You can access the payments and transactions export from the Exports module, then click Accounting > Choose.
You can then choose to export, among other options:
- the accounting entries for transactions tied to your Membership Campaigns, Donation Campaigns, Events, or Online Shop (Product Sales);
- the payment entries for transactions only.
Running the export
The export will list all transactions and/or payments linked to campaigns (memberships, donations, events, online shop) on your main platform and any dependent advanced groups. For an independent advanced group, the export must be run from that group's Exports page.
To start the export, select the document type you want and click the corresponding Export button.
A side panel will open. Select a date range to export transactions or payments for the desired period, then click Export.
The export will be sent within 1 hour to the email address associated with your user account.
You will then receive a download link in the email, valid for 30 days.
Understanding the export data
The export is in CSV format, which you can open in Excel. Transactions and payments are sorted from oldest to most recent.
If you use the export for tracking online sales, you can filter it to display only the transactions/entries linked to that payment method.
Payments export
The export includes, among other details:
- The payment date and amount;
- The accounting record number in the software;
- The payment method;
- Any associated checks/deposit slips;
- Any associated transactions.
Transactions export
Due to a technical limitation, a single transaction ($50) with two attendees (2×$25) generates two rows (2×$50). You can remove these duplicates using the transaction ID.
The transactions export includes, among other details:
- The transaction ID;
- The linked campaign/ticketing form;
- The transaction type (Membership, Donation, etc.);
- The date;
- The linked platform (main platform or advanced group);
- The Buyer;
- The amount;
- Any discounts and fees;
- The payment method;
- The outstanding balance;
- Any associated refund transaction.
