You collect online payments through forms and want to track fund movements, associated invoices, and the book entries they generate.
You can monitor your e-wallet from the Payments > E-wallet page. This article covers the following topics:
E-wallet invoices
Invoice generation
When a transaction is paid online, it lands in your e-wallet.
If you have chosen to cover the payment fees yourself, they appear on a monthly e-wallet invoice that consolidates all fees charged on that month's online sales.
To view these invoices, go to Payments > E-wallet > My e-wallet invoices, then click View:
Click on any invoice to see its details.
Invoice details
After clicking on an invoice, a side panel opens. Click View invoice to access the document, which includes the following information:
- The form / ticketing and the period covered;
- The amount of fees charged;
- The items sold (quantity, price, and total).
Here is an example of a generated invoice:
E-wallet balance
The balance shown on the E-wallet page represents funds you have collected that have not yet been paid out to your bank account.
Since payment fees are deducted directly from sales, they are not included in the e-wallet balance.
There is another indicator on the Accounting > Dashboard > Cash & Equivalents page. This is the accounting balance, calculated by aggregating the generated book entries.
These entries belong to account 517000 and can be tracked in the General Ledger (under Accounting > Documents).
Generated book entries
Online sales
If the accounting module is enabled, invoices are automatically recorded as book entries. Like invoices, sales-related entries are generated at the end of the month.
The platform has all the information it needs to determine which entries to generate:
Payout from e-wallet to bank account
Unlike online sales, payout entries are generated in real time. An entry is created immediately after each payout:
Refunds
Fund movements related to a refund are also covered by a monthly invoice totaling all cancellations for that period. The invoice includes:
- the payment fees associated with the refund;
- the refunded amount.
The generated entry follows the same logic as for online sales (detailed below), with one difference: sales are reversed using a class 7 account on the debit side.
Wallet Statement: incoming / outgoing flows
All fund movements are listed on the E-wallet service page, under the "Wallet Statement" section.
