As a nonprofit administrator, you need a clear picture of your members, their history with your organization, and the revenue generated from memberships.
This detailed data is typically needed for presentations, grant applications, activity reports, and more. Springly lets you export all of it to meet those needs.
In this article:
- Where to export membership and member information
- What information can you export?
- Member and membership exports for advanced groups
- Exporting membership information from the Community
Reminder: In Springly, every membership has a start date and an end date. These two dates define the period during which the membership is considered "active."
Where to export membership and member information
The Exports module lets you bulk-export consolidated information about your members and their memberships.
From this page, select "Memberships & Members."
You'll land on a dedicated page with several export options to choose from.
What information can you export?
This bulk export page lets you export consolidated lists of member contacts and their memberships.
Note (1): If you have enabled the Structures feature, you can export information about member organizations. This option is available at the time of export.
Note (2): If you have advanced groups, exporting from the main platform will not include membership data from those groups. You'll need to export that data directly from each group.
About current members
On the export page, you can choose to export information about your current members โ that is, contacts whose membership start and end dates include today's date.
You'll receive an Excel file by email containing the following information:
- Unique contact ID, as found in the Community;
- Native contact fields:
- For individuals: first name, last name, email address, landline, mobile phone, mailing address;
- For organizations: organization name, email address, landline, mobile phone, mailing address.
- Earliest membership date: the date of the first membership recorded in Springly;
- Most recent membership date: the date the latest (current) membership was recorded in Springly;
- Amount of the current membership;
- Organization (main platform or advanced group) the membership belongs to (the one you're exporting data from).
About former members
You can choose to export information about former members only by selecting a membership period.
You select two dates. If a contact had an active membership for at least one day within that date range, they will appear in your export.
You'll receive an Excel file by email containing the following information:
- Unique contact ID, as found in the Community;
- Native contact fields:
- For individuals: first name, last name, email address, landline, mobile phone, mailing address;
- For organizations: organization name, email address, landline, mobile phone, mailing address.
- Earliest membership date: the date of the first membership recorded in Springly;
- Most recent membership date: the date the latest (current) membership was recorded in Springly;
- Total membership amount for the contact over the selected period.
About memberships over a given period
This export focuses on memberships themselves, not on members (individuals or organizations).
So, if a person has joined twice during the selected period, they will appear twice in the export you receive by email.
It will include the following information:
- Transaction ID, which appears in the registrant list of the Membership Campaign;
- Unique contact ID, as found in the Community;
- Native contact fields:
- For individuals: first name, last name, email address, landline, mobile phone, mailing address;
- For organizations: organization name, email address, landline, mobile phone, mailing address.
- Membership start date: the date from which the membership is active;
- Membership end date: the date after which the membership is no longer active;
- Transaction date: the date the membership was taken out;
- Transaction amount (membership fee);
- Payment status: paid, partially paid, or unpaid;
- Payment method used for the membership: credit card, installment payments, check, etc.;
- Name of the campaign through which the membership was taken out;
- Organization (main platform or advanced group) the membership belongs to (the one you're exporting data from).
Member and membership exports for advanced groups
If you manage a platform with advanced groups, this section is for you.
For example, imagine you manage a multi-sport club (the main platform) with several sections (advanced groups). Memberships are managed within each section.
- If you export the member list from the main platform, you'll only get members of the main platform โ not those belonging to advanced groups;
- If you export the member list from an advanced group (e.g., the Basketball section), you'll only get members of that specific advanced group โ not those from other sections or the main platform.
Exporting membership information from the Community
Filtering members in the Community
At the time of writing, it is not possible to export all information stored in Custom Fields on member profile records.
This may change in the future.
In the meantime, if you need this additional information, here's what we recommend:
- Go to Community > Contacts;
- Filter (1) the community based on the export you need, using either:
- the "Filter by" field to select your members (current members this month, former members from the previous month);
- Advanced Search to filter by: an advanced group or the main platform, membership period or date (before / after / exact date), status, type (standard or lifetime), payment status, amount, etc.;
- Check the box next to the "Name" field (2) to select all displayed members;
- Click the export icon (3) and choose your preferred format.
The file will download automatically.
This approach has the advantage of including members from both your groups and your main platform at the same time (if you wish), and of capturing all the information stored in profile records โ in short, it lets you tailor your export to exactly the criteria you need.
However, some information will be missing, such as exact membership dates or the membership amount. Additionally, unrelated data not tied to memberships will also be included.
Combining the membership export with the Community export
Here's one more way to bring together all the information you need on your members:
- Export all your contacts from Community > Contacts (or by filtering the Community as explained above), making sure to include the contact ID ("Contact ID");
- Export the information you need from the export page described earlier;
- Merge the data from both Excel files into a single table using the contact ID. Use the "VLOOKUP" function to consolidate (see instructions here).
