Springly lets you bulk-import your donors via an Excel file. This allows you to:
- build a history of donations received by your nonprofit;
- populate your Contacts with your donors and their information, so you can easily reach out to them again.
Here's what we'll cover:

You cannot update the details of a donation already recorded in the platform by running an Excel import.
Access the import page
Go to Campaigns > Donations, then on the Donation Campaign of your choice, click the "Manage Donors" icon. You'll land on the donor list page for that campaign.

From the Donors tab:
- click the "+ options" button;
- select "Bulk import participants";
- then click "Confirm".
If no donors have been added to your campaign yet, you can import your list by clicking "import into the platform" in the message displayed.
You'll land on the next page, where you can start preparing your file for import.
Once the import is complete, donors will be added to the campaign as well as to your Contacts list, if they weren't already there. Book entries will not be created automatically — you can add them manually afterward.
Prepare your Excel file for import
We recommend using the provided sample Excel file to avoid errors. Download it from section 1 "File Preparation" on the import page by clicking the "Sample file" button.
This gives you a correctly formatted file — just replace the sample contacts and data with your donors' actual information.
Open the Excel file and fill in the values for each column, including the donation-related fields:
- Donation amount;
- Payment method;
- Donation date.
Copy and paste the data to import
Once you've filled in your Excel file with your donation data, go back to the import page on your Springly platform and click the "Ready to import!" button.
An import field will appear.
Copy and paste all the values from your Excel file into this field, including the column headers (they help with field mapping).
Click the "Next" button.
Map the fields to import
Check the mapping between the fields defined in the platform (on the left) and the values for each column header in your Excel file (on the right).
If a field isn't mapped in the left column, find it using the dropdown list.
The "Transaction amount", "Payment method", and "Transaction date" fields will display the donation information in the donor list once the import is complete.
Once all fields have been mapped and verified, click Continue to move to the next step.
Review before importing
This step lets you review and fix any errors in the data you're about to import.
You can also choose between:
- Updating an existing contact's information;
- Adding the donor to your Contacts if they're not already there;
- Skipping the contact and not adding or updating their information.
When everything looks good, click Continue.
Finalize the import
This final step lets you:
- add imported donors to one of your existing groups. To do so, check the Groups box and select the group(s) of your choice;
- generate Tax Receipts: if you've enabled tax receipt generation (Settings > Tax Receipts and Invoices) and a mailing address is included in your import file, you can automatically generate tax receipts. You can also send them to your donors by email by checking the box that appears just below.
Finally, click the Import button to complete the import.
All donors will be added to every group you selected. To split donors across different groups (for example, 5 donors in one group and 10 in another), segment your Excel file accordingly and run a separate import for each group.
The imported donation now appears on the donor's profile (under the "Donations" tab), and you can view the full donor list by filtering your contacts from Contacts.
Record imported donations in accounting
Note: the import does not automatically create the accounting entries for the donation.
To add the accounting entry, go to the transaction page:
- via the Donation Campaign, under the Donors tab, then Details (eye icon);
- or via Contacts, by opening the donor's profile > "Donations" tab > Details:
Once on the transaction, click the Add to accounting button.
That single click is all it takes to create the revenue and third-party account entries in accounting. After that, if payment hasn't been recorded yet, you'll need to add the payment — this will clear the outstanding balance and allow you to generate the Tax Receipt manually.
