The "Checks" tab in your Business Account interface lets you deposit checks. You can also view the history of deposited checks and track the status of any check deposit.
Deposit a check to your Business Account
Find or create the check
First, go to the Check page in your Business Account menu:
A list of checks from your Springly modules (accounting, donation and membership campaigns, etc.) is displayed — click the corresponding icon to deposit any of them.
If the check you want to deposit isn't on the list, click the link below the table to create a new one.
Important: if you use the Springly accounting module and your check doesn't appear in the list, you must first create the associated expenditure by clicking the link below the table.
Submit the check deposit
You'll need four pieces of information to deposit a check:
- The check amount;
- The check label: the name that will appear on your statement and transaction history;
- Check number (1): a 31-digit string found at the bottom of the check;
- RLMC key (2): a 2-digit key shown between angle brackets or parentheses.
Then, write your Business Account number on the back of the check and click Deposit check.
Multiple checks can be mailed together.
Understanding check deposit errors
Three errors may occur when depositing a check through the Business Account interface:
- The check number or RLMC key is invalid: please verify that the information entered in the form is correct.
- The check is suspected of fraud: please contact the check issuer to arrange an alternative payment method.
- The check amount exceeds €10,000. For security and risk management reasons, this is the maximum amount allowed for a single check.
Track your check deposits
To track the progress of your check deposits, go to the second tab on the page: Check History.
The possible statuses are:
- Check sent: you have submitted the check deposit, but it hasn't been received yet.
- Check not received: the check was not received within 30 days.
- Deposit rejected: the check could not be collected (for example: the check was not signed by the issuer). It will be returned to the main organization address on your Springly platform.
- Check collected: the check has been successfully collected! Please allow up to 10 days for this to reflect in your account balance.
- Check bounced: after being collected, the fund transfer could not be completed (for example: the issuer's account was closed).
The Springly Administrator who submitted the check deposit will receive an email notification whenever a check is not received, rejected, or bounced.
Important: once collected, a check takes approximately ten business days to reflect in your Business Account balance.
