Sometimes you may need to add multiple members at once. For example, if you're just getting started with Springly and already have dozens of members, you can easily import your history into the platform via an Excel file import.
This article covers the following topics:
Note: The import adds a membership period to an existing member or one created during the import. It does not allow bulk editing of membership information already recorded in the platform.
Don't want to import members through a campaign? Set the membership durations for existing members directly from your list of contacts, as explained here.
How to access the import page
Bulk member imports are done from a Membership Campaign, accessible from the Campaigns > Memberships page. Use the search bar to find the campaign you need.
Once you've found it, access the member list by clicking Manage Registrants.
You'll land on the member list.
For more information on how a Membership Campaign works, check out this article.
If people are already registered in your campaign:
- click the + More options button,
- select Import participants in bulk and confirm.
If your list is empty, click Import your membership history, which appears at the bottom of your screen:
You'll land on the import page.
Importing members
Preparing your import file
Before you start, we recommend reviewing the required format. Read through the information on this page and use the provided Sample File as a reference.
The members you're importing may already exist in the platform. If so, add a column to your Excel file listing their unique identifier to avoid duplicates.
Once you open the sample file, locate the membership-related fields:
- Transaction amount
- Transaction date
- Membership start date
- Membership end date
- Payment method (optional)
The information entered in these fields will be used to create the membership record in Springly.
Copy and paste the Excel file
Once your Excel file is ready, select all cells (Ctrl + A), copy them (Ctrl + C), and paste them (Ctrl + V) into the designated area in Step 2. Then click Next.
Field mapping
Check that the fields defined in the platform (on the left) match the column headers in your Excel file (on the right).
Pay close attention to the fields related to membership information.
Preview before import
This step lets you fix any formatting errors by editing values directly in the interface.
Final step before import
This last step lets you finalize the import and optionally add the imported members to a group.
You can only add members to one group per import. To assign members to multiple groups, split your Excel file accordingly and run a separate import for each group.
The membership will be added to each person's profile. Under Community > Contacts, they will appear with the Member icon and can be filtered using that criterion.
Recording imported memberships in accounting
Important: the import does not automatically create the accounting entries for memberships. Each entry must be recorded manually.
To add the accounting entry, go to the transaction detail page and click the Add to accounting button. You'll then be prompted to enter the entry details, just like a standard expenditure/revenue book entry.
