Using Payment Links
Where do I find the Payment Link feature?
From your Springly administrator dashboard, the feature is accessible via the Payments side menu.
What administrator permissions are required to use this feature?
Payment Links are available to main administrators and to administrators with write access to accounting.
What do I need before I can use this feature?
You just need an E-wallet. If you don't have one yet, setting it up takes less than a minute β go to Payments > Activation.
Make sure to complete your E-wallet Verification so you can transfer funds to your bank account (see E-wallet Verification).
How many people can I send a link to at once?
Up to 10 people at a time. Each person receives their own unique link.
This limit may increase in the future.
Can I send Payment Links for different amounts?
When you create a Payment Link, you can only set one amount. If you send it to multiple people, they will all be charged the same amount.
If you need different amounts, simply create separate Payment Links.
How long is a Payment Link valid?
A Payment Link automatically expires after 15 days if it hasn't been used.
An administrator can also manually deactivate a Payment Link at any time.
What happens if a payment is declined or fails?
The payment status will show "Payment declined." Click the ποΈ icon to see the reason for the decline.
Will I be notified for each payment?
Not yet. For now, you can track payment statuses directly in the platform.
Can I refund a payment received through a Payment Link?
No, this is not currently possible.
Is the Payment Link available for advanced groups?
Yes, the feature is available as long as the advanced group has its own E-wallet.
If I need to send to more than 10 people, can I just repeat the process?
Absolutely β there's no overall limit, so you can repeat the process as many times as you need.
How does this work for donations, where the donor chooses the amount?
Use a Donation Campaign β with a free-choice amount if that's how your nonprofit works β and offer online payment directly. That's the most effective approach. Reserve Payment Links for people who said they'd pay offline but never actually sent their payment.
Can I take pre-registrations and set up a deferred payment that only processes when the activity period starts?
Payment through a Payment Link is immediate. However, you can choose when to send it. Here's what you can do:
- Create a Membership Campaign
- Approve the request and mark payment as offline (i.e., don't send the Payment Link from the form itself)
- When you're ready, create a Payment Link from Payments > Payment Link
- Once payment is received, reconcile it with the receivable from Accounting > Book entry β Manage debts and receivables: find both entries, select them, and click "Reconcile entries"
How do I handle Payment Links alongside the Pass'Sport subsidy?
To use it to pay for a membership through a form:
- Add "Other" as a payment method and add an instruction such as "If you have a Pass'Sport voucher, select 'Other' and send it to us",
- When you receive the Pass'Sport voucher, record it as a payment,
- Send a Payment Link for the remaining balance so the member can pay the rest of their membership.
What you can do with Payment Links
Can I deactivate a Payment Link?
Yes. Here's how:
- Find the Payment Link you want under Payments > Payment Link, using the available filters.
- Click the corresponding ποΈ icon.
- Click the "Deactivate link" button in the panel that opens on the right.
Can I reactivate a deactivated Payment Link?
No β once deactivated, a Payment Link cannot be reactivated. But creating a new one takes literally 30 seconds.
Can I change how long a Payment Link stays valid?
No, this is not possible in the current version (February 2024). We aligned with market standards for this first release and will reassess based on your feedback.
Can the link be tied to a membership or an Event payment?
You can link it manually through your accounting for now. Down the road, we'll add direct integration with memberships, Events, and more.
Can I offer installment payments through a Payment Link?
You can create as many Payment Links as needed. Installment payments are not currently supported through Payment Links, but it's something we're exploring.
Can we use it for our clients?
You can use a Payment Link with anyone you need to collect money from β so yes, your clients definitely qualify!
Once I copy a Payment Link, can I send it to more than 10 people?
You do have access to the Payment Link URL, so technically nothing stops you from including it in an email to more than 10 people. However, this doesn't really make sense for a couple of reasons:
- Once one person pays through the link, no one else can use it
- Say you sent the link to michel@email.com, then also shared it with Claudine and Claudine pays β the Payment Link (which will show as paid) will still display michel@email.com as the payer.
We recommend using Payment Links as intended. And don't worry β we'll keep improving the feature to better meet your needs.
Can I use a Payment Link when an installment payment fails because a member's card has expired and they haven't updated it?
Yes, absolutely!
Is the Payment Link only for credit/debit card payments?
Yes, for now. But we'll be gradually adding more payment methods such as Apple Pay, Google Pay, and others.
Could PayPal be added as a payment option in the future?
It's under consideration!
Can the payer change the requested amount? Is it possible to set a free-choice amount on a Payment Link?
This is not possible in the first version released in February 2024. We're exploring options to add this in a future update.
Can Payment Links accept local currencies?
Only euro payments are currently supported (so it depends where you are π).
Is a Tax Receipt generated for this payment?
No β mainly because nothing indicates that this payment is a donation. In that case, use a Donation Campaign instead: record the donor, send a Payment Link, and then match the receivable with the payment.
Is an invoice generated automatically?
Not yet, but it's on our list of improvements to explore.
Can a member find their Payment Link in their Springly profile and pay from there? That would make it feel more secure for them.
Not currently, but that's a great idea β we're adding it to our improvement list!
Can I refund a transaction paid through a Payment Link?
Refunds are not supported in the current version (February 2024). It's something we're actively exploring.
Can I use the Payment Link directly on Springly if I'm with the person in front of me, without sending them an email?
The Payment Link is generated and sent directly to the person.
You can also find it on the Payments > Payment Link page and send it via SMS, for example.
Can I link a payment to a membership when generating the Payment Link?
Not in the current version (February 2024) of the Payment Link.
But it's something we're looking into.
Does the Payment Link let members pay their membership without having to log in to Springly?
Since no login is required to use a Payment Link, yes.
That said, we're also working to make the login experience smoother. Using a Membership Campaign is still the best approach to take advantage of all the automations β invoices, Tax Receipts, membership dates, and more.
Can this online payment replace card terminal payments (like SumUp)?
It's not exactly the same use case, since the Payment Link requires the payer to enter their card details. But since it works easily on a phone, it can serve a similar purpose.
We're exploring many new ways to make payment even simpler, so stay tuned β big things are coming!
Is SMS delivery for Payment Links planned?
Right now, you can simply copy the payment page link and share it however you like β in an email, or even a WhatsApp message sent from your browser at https://web.whatsapp.com/.
As of February 2024, SMS delivery is not on our roadmap.
If we have an open-ended membership fee (minimum $20, no maximum), can we use a Payment Link?
Currently, you must specify an amount to generate a Payment Link.
For open-ended memberships, the best option is to use a Membership Campaign where you can configure a free-choice amount with a minimum. You can offer online payment directly there. The main benefits:
- members will be properly identified in your community
- they'll automatically receive their Tax Receipt or invoice, depending on your settings
- no manual steps required on your end
Can't the Payment Link be used alongside a form?
Not directly from the form at this point β but you can absolutely send a Payment Link to someone who said they'd pay offline and never actually did!
Can a Payment Link be paid by wire transfer?
By definition, a Payment Link is for online card payments.
It's different from a wire transfer β and much faster. No need to log in to your bank, add a beneficiary IBAN, and so on.
It's also 100% secure and matches how people prefer to pay today.
The connection to accounting
Can I link the payment to an accounting entry β membership, donation, product sale, etc.?
Yes, absolutely β from the debts and receivables page in your accounting module.
Can I configure the account for allocation?
No, because this is a cash flow entry only.
However, you do choose the account for the item being paid. See this article: Recording payments received through a Payment Link.
How is the revenue account associated with the link configured?
The recorded entry is a payment entry β it doesn't involve a revenue account, but a cash account (specifically account line 517) and a third party (the payer). Neither of these elements can be configured.
Online payment costs
What are the fees associated with Payment Links for the nonprofit? Are the fees different for installment payments β for both the payer and the nonprofit?
They are the same as standard online payments: Payment Fees or a Tip.
Check out this article for more details: What are the costs for online transactions?
If a member doesn't leave a Tip on their online payment, who covers the cost? The nonprofit?
No, the nonprofit pays nothing β even if a member doesn't leave a Tip. That's the bet we're making with this model. Of course, it only works if no one actively games the system. So if we notice that you're discouraging members from leaving Tips, we'll be in touch π
We've enabled Tips on our forms, but some members skip or decline them. Can we change "Tip" to "Payment Fees" and set a minimum amount?
Unfortunately, no β those terms can't be changed. Since we're not a banking institution, we're not permitted to use the term "Payment Fees" (because technically they aren't).
As for a minimum amount, that's not how the system is designed at this time.
Are there any Payment Fees on refunds?
No, there are no fees for refunds.
That said, refunding a payment received through a Payment Link is not currently possible.
The recipient's experience
Could the Payment Link email end up in the recipient's spam folder or be flagged as phishing?
We've included comprehensive security information in the email footer to prevent this and comply with email best practices.
Does the recipient need a Springly password to access the payment page?
No β clicking the link takes them straight to the payment page.
